The iDonate Process

How It Works

It’s quick and easy, really. iDonate is a simple turnkey solution that takes all the hard work out of accepting and converting noncash donations into more money for your organization.

There are 5 key components to the iDonate process, as you can see below. From the start of your Donation Campaign through the final collection of proceeds, iDonate works tirelessly to provide you and your donors an experience that you will want to repeat again and again. Our goal is simple: provide the tools you need to raise more money while helping you provide receipts to your donors. Click below for details on any of the components in the iDonate process.

Our goal at iDonate is to make the donation process enjoyable and hassle free so that your donors will be inspired to give again. That’s why it’s important for you to know what your donors will experience and can expect during the iDonate process, which is outlined below.



Donation Campaigns

Since noncash giving is a new or unfamiliar idea to many of your donors, we believe that success depends on the development and execution of a precise marketing plan. iDonate works with you to develop such a plan, along with powerful communication materials and a timeline for implementation.

As an iDonate client not only do you get help with your marketing plan, but iDonate also provides a variety of marketing tools for your use such as email verbiage, customizable posters and flyers, newsletter blurbs and receipt stuffers.

Donation Acceptance

All noncash donations that are offered to your organization are reviewed by our Liquidation Specialists to determine current market value. As your representative in the process, we then contact your donors to make them aware of the sale plan and to set expectations according to our research and experience. This correspondence may be done by phone or email and is begun within two business days from the time the donation was offered through your weblink page.

If iDonate feels that a donated item falls outside our expertise, or if we believe it has little or no market value, we will give your donor options for liquidating the item individually and donating the proceeds to you.

Donation Sales

iDonate uses a nationwide network of vendors to liquidate your donations. All of our vendors are screened for their expertise and past performance. And each vendor in our network shares our goal of getting the maximum value in the shortest possible time so that the money is available for your use without extended delays. Generally, all cell phones and vehicle donations are expected to liquidate within 30-60 days. RVs, boats, real estate and inventory will typically take longer, though we strive to liquidate those items in less than six months.

Receipting & Reporting

The Nonprofit retains full ownership of donations and generates all gift-in-kind receipts and any IRS paperwork required. To assist Nonprofits in this process, iDonate provides an automated receipt module via the CGS tracking system, which automatically generates the required personalized receipts and paperwork.

Reporting is available to all client members via the CGS tracking system. The system provides flexible reporting by date ranges and other criteria so you can monitor and report your noncash donation activity.

Proceeds Settlement

When a donation has been liquidated, the proceeds (less sales costs) are sent to iDonate. We deduct any additional sales costs we incurred, along with our fee, and then send the remaining proceeds to your organization. Our goal is to maximize profit to our Nonprofit partners.

Generosity

Generosity is the spark that produces the desire to give, and we at iDonate want to recognize the generosity of your donors as they help support you and your goals and initiatives. iDonate has collaborated with the iDonate Foundation to educate both ministries and donors concerning generosity and the transformational giving that results from it.

Donation

iDonate provides each Nonprofit client with a web link page to place on your website. Similar to making a PayPal donation, this link makes it easy for donors to enter noncash donations. Making the web link readily available and easy to find on your website is very important to the success of your noncash marketing campaign. View an example page here.

Through a simple 1-2-3 process, your donors can enter important information about their donation. This information will be sent to iDonate securely so we can begin working on your donation immediately. Because communication is vital to our process, both you and your donor will receive email notifications confirming that the donation has been successfully submitted.

Donation Acceptance

iDonate's main goal is to help Nonprofits, so we evaluate each donation for marketability before it is accepted. Once your donor offers a gift through your iDonate web link, we will evaluate it, gather other vital information from your donor, perform necessary market research, and communicate with your donor to set an expectation for how the donation will be liquidated.

  1. Your donor offers a donation
  2. iDonate communicates with the donor within two business days
  3. iDonate conducts two to three days of market research
  4. iDonate communicates the proposed sale plan to the donor or deactivates the donation
  5. Your donor chooses to continue with iDonate's process or deactivate the donation
  6. If the donor approves, donation possession is transferred, and a gift-in-kind receipt is created

Donation Processing

After acceptance of the gift, iDonate makes arrangements for the donation's pickup, shipment or transfer. Once it has been transferred, it enters the sale process. Afterward, net proceeds from the sale are sent to iDonate to finalize processing and, ultimately, to send the end proceeds to your organization.

Gift-in-Kind Receipting

Once a donation has been picked up or legally transferred, the CGS tracking system will create a gift-in-kind receipt. As the Nonprofit benefiting from the gift, you have the option to receive an email notification when receipts are ready to send to your donor. When you log in, you can send the receipt directly from an individual donation record, or you can print or email a batch of receipts.

Some donations require additional receipting after the sale. CGS will create 1098-C receipts for vehicle donations and 8282 receipts for donations sold above $5,000. Notification and printing functions are the same as for the initial gift-in-kind receipt.
